  • Candidates are evaluated based on qualifications, skills, and cultural fit

  • Offer letters require HR and department head approval

Interview Process

Our standard interview process includes initial screening, technical assessment (when applicable), panel interview, and final interview with leadership.

Employee Onboarding

New hire orientation and integration process

Our comprehensive onboarding program ensures new employees have the resources, training, and support needed to succeed in their roles.

Onboarding Timeline

  • Day 1: Welcome session, paperwork completion, equipment setup
  • Week 1: Department orientation, team introductions, initial training
  • Month 1: Role-specific training, mentor assignment, 30-day check-in

Work Hours & Attendance

Standard working hours and attendance expectations

Vailexa maintains flexible work arrangements while ensuring business needs are met and team collaboration is supported.

Standard Hours

  • Core business hours: 10:00 AM - 3:00 PM (local time)
  • Standard work week: 40 hours for full-time employees
  • Flexible start/end times available with manager approval
  • Overtime must be pre-approved by department manager

Attendance

  • Employees should notify their manager of absences as soon as possible
  • Repeated unexcused absences may result in disciplinary action
  • Time tracking is required for all non-exempt employees

Employment Classification

Employee categories and classifications

Understanding employment classifications helps ensure proper benefits allocation and compliance with labor laws.

Classifications

  • Full-Time: Employees working 30+ hours per week, eligible for full benefits
  • Part-Time: Employees working less than 30 hours, limited benefits eligibility
  • Temporary: Fixed-term employment for specific projects or periods
  • Contract: Independent contractors engaged for specialized work

Exempt vs. Non-Exempt

  • Exempt: Salaried employees not eligible for overtime pay
  • Non-Exempt: Hourly employees eligible for overtime compensation

Termination & Offboarding

We strive to make employment transitions as smooth as possible for all parties involved.

Resignation Process

  • Two weeks written notice is requested for voluntary resignations
  • Exit interviews are conducted by HR
  • Final paycheck includes all earned wages and accrued PTO

Payroll & Pay Periods

Payment schedules and methods

Vailexa processes payroll on a bi-weekly basis, with payments issued every other Friday.

Payment Details

  • Direct deposit is required for all employees
  • Pay stubs are available through the employee portal
  • Changes to banking information must be submitted 5 days before pay date
  • Questions about pay should be directed to payroll@vailexa.com

Performance Bonuses

Performance bonuses reward exceptional contributions and achievement of goals.

Bonus Types

  • Annual Performance Bonus: Based on individual and company performance
  • Spot Bonuses: Immediate recognition for exceptional work
  • Referral Bonuses: $2,500 for successful employee referrals

Paid Time Off (PTO)

Vacation and personal time allocation

Vailexa provides generous PTO to support work-life balance.

PTO Allocation

  • Years 0-2: 15 days per year
  • Years 3-5: 20 days per year
  • Years 6+: 25 days per year

Guidelines

  • PTO requests should be submitted at least 2 weeks in advance
  • Maximum carryover: 5 days to the following year
  • Unused PTO is paid out upon separation

Who qualifies for remote work arrangements

Vailexa supports flexible work arrangements for roles that can be performed remotely.

Eligibility Criteria

  • Role can be performed independently without on-site presence
  • Employee has demonstrated strong performance (90+ days tenure)
  • Reliable internet connection and suitable workspace
  • Manager and department approval required

Work Arrangements

  • Fully Remote: Work from home 5 days/week
  • Hybrid: 2-3 days in office, remainder remote
  • Flexible: Occasional remote work as needed

Remote Work Security

Data protection while working remotely

Protecting company data is critical when working outside the office.

Security Requirements

  • Use company-provided VPN for all work activities
  • Enable multi-factor authentication on all accounts
  • Keep devices updated with latest security patches
  • Secure physical workspace from unauthorized access
  • Report any security incidents immediately to IT

  • Using public Wi-Fi without VPN
  • Storing company data on personal devices
  • Sharing login credentials with others
